Welcome to our studio! Please review our academy policies, safety guidelines, insurance details, and legal terms below. These terms apply to all enrolled students and adult participants.

 

1. Assumption of Risk, Liability Release, Insurance & Indemnity

Dance is an active, physical activity. To keep all students safe and maintain a structured, positive environment, participants and families agree to the following terms:

 

• Participation risks, consent, conduct, property responsibility, liability, release and indemnification are addressed in the Participation Consent & Liability Waiver acknowledged during registration. These Studio Policies do not add to or override those provisions.

   

• Insurance Coverage & Scope: Natyanjali Productions Inc. (operating as Natyanjali Dance Academy) maintains comprehensive commercial general liability insurance. While our insurance provides standard coverage for studio operations, participants and families acknowledge that personal injury or loss can still occur despite safety precautions.

   

• Drop-Off, Pick-Up & Supervision Safety: Parents and guardians must drop off students no earlier than 10 minutes before class and pick them up promptly when class ends. The academy is not responsible for supervising students outside of their scheduled class times or off studio property. A late fee may apply for chronically delayed pickups.

   

• Force Majeure & Studio Closures: Natyanjali Dance Academy and Natyanjali Productions Inc. are not liable for failure to perform or studio closures resulting from acts of God, severe weather, power outages, government orders, or other unforeseen emergencies beyond our control. In such events, classes may be moved to a virtual format or rescheduled where possible. Refunds or credits are not issued for short-term closures.

   

2. Medical Authorization & Emergency Care

Emergency medical assistance, contact procedures and responsibility for uninsured expenses are addressed in Section 5 of the Participation Consent & Liability Waiver.

 

3. Monthly Fees, Helcim Autopay & Multi-Student Discounts

Natyanjali Dance Academy uses recurring automatic payments to simplify tuition collection and reserve students’ places in their classes.

• Mandatory Automatic Payments: All enrolled families must establish recurring tuition payments through Helcim, our secure payment processing provider. Payments may be made through pre-authorized bank debit (PAD) or credit card.

• Billing Schedule: Monthly tuition is scheduled for the 4th of each calendar month and covers classes during that same month. Tuition is charged per enrolled family according to the applicable tuition package.

• Complimentary Trial Class: Eligible new students are entitled to one complimentary trial class. Trial dates and times must be confirmed with Natyanjali Dance Academy before registration.

• Families proceeding with registration are asked to establish their recurring payment subscription before attending the scheduled trial. Completing payment setup authorizes future recurring charges according to the selected subscription terms.

• New Student Welcome Offer: Eligible new students receive complimentary classes for the remainder of their joining calendar month. If tuition is collected for that eligible month, Natyanjali Dance Academy will refund the applicable tuition payment. The offer is available once per new student and does not apply to existing students or returning students who have previously used the offer.

• Trial Cancellation: Families who decide not to continue after their initial complimentary trial must notify Natyanjali Dance Academy promptly, preferably in writing, so their recurring subscription can be cancelled. The standard 30-day withdrawal notice does not apply when declining enrollment following the initial trial. Any eligible joining-month tuition collected will be refunded.

• Family & Multi-Program Discounts: Discounted tuition packages are available for eligible households enrolling multiple students or students participating in both Bharatanatyam and Mohiniyattam. Tuition is calculated according to the academy’s current published family pricing. If enrollment changes, the applicable tuition package may be adjusted for future billing cycles.

• Payment Methods & Processing Charges: Bank payments (PAD) have no additional surcharge. Credit card subscriptions include a 2.4% processing surcharge, reflected in the total amount displayed before payment authorization. All published tuition amounts include HST.

• Reserved Class Spaces: Tuition reserves an ongoing place in the enrolled class and is not calculated according to individual attendance. Missed classes due to vacations, routine illness, or personal scheduling conflicts are generally non-refundable.

• Failed Scheduled Payments: A $25 administrative fee applies to failed or declined scheduled tuition payments, subject to applicable law. Helcim may automatically retry unsuccessful payments. Outstanding balances and applicable fees must be resolved promptly to maintain enrollment.

4. Tuition Pauses, Withdrawal & Refund Policy

Natyanjali Dance Academy maintains limited class sizes to provide personalized instruction. Families must provide advance notice when requesting a temporary pause or permanent withdrawal.

Temporary Vacation Pauses: Families requesting a temporary pause in tuition payments must provide at least 30 days’ written notice before the applicable billing date.

For example, to pause the December 4 payment, notice must be received by November 4.

Approved pauses may be granted for a maximum of two consecutive months. During an approved pause, the student’s existing class placement will be retained.

Permanent Withdrawal: Families wishing to withdraw permanently must provide at least 30 days’ written notice directly to Natyanjali Dance Academy administration.

For example, if notice is received on November 10, the December 4 tuition payment will still be processed because the required notice period has not been met.

Stopping Attendance: Not attending classes, notifying an instructor verbally, or discontinuing participation does not automatically cancel the recurring subscription. Written notification to academy administration is required.

Complimentary Trial Exception: Families who decide not to continue following their initial complimentary trial are exempt from the standard 30-day withdrawal notice requirement. They must notify the academy promptly so their subscription can be cancelled.

Refund Policy: Monthly tuition payments are generally non-refundable once processed, except for eligible complimentary joining-month charges, billing errors, or refunds required by applicable law.

Subscription Cancellation: Natyanjali Dance Academy will arrange cancellation or modification of the recurring Helcim subscription according to the applicable withdrawal or pause policy. Families should retain written confirmation of their cancellation request.

5. Required Dress Code & Academy Uniforms

Proper attire is required for alignment, student safety, and structural dance discipline. Students must arrive wearing the specific academy uniform pieces designated for their class level. Instructors may ask a student to observe class rather than participate if they routinely arrive without their proper dance gear. No refunds or make-up classes are provided for sessions missed due to uniform issues.

 

6. Academy Photos, Videos & Media Release

We love celebrating our dancers' achievements! By enrolling, you grant Natyanjali Dance Academy and Natyanjali Productions Inc. permission to capture, use, and publish photographs, video footage, audio recordings, or digital likenesses of the student or adult participant taken during regular classes, rehearsals, workshops, recitals, or public stage performances.

 

• Usage Scope: These materials may be used for educational training, studio updates, promotional brochures, print media, the academy website, and official social media channels (such as Instagram, Facebook, YouTube, and TikTok) and digital advertisements.

• No Compensation: All photos, videos, and media recordings remain the exclusive property of Natyanjali Dance Academy and Natyanjali Productions Inc. Participants and families acknowledge and agree that they will not receive financial compensation, royalties, or payment of any kind for their appearance in these media assets.

• Opt-Out Option: We fully respect privacy preferences. If you do not wish for your image or your child’s image to be used in public studio media, you must notify our administration team in writing prior to the start of classes so we can flag the student's profile accordingly.

   

7. Privacy & Data Protection

Natyanjali Dance Academy and Natyanjali Productions Inc. respect your privacy. Personal information and medical details collected during registration are used solely for student safety, emergency communication, and administrative management. We do not sell or share your information with third parties, and all payment data is securely handled via encrypted processors (Wix and Helcim) in compliance with Canadian privacy standards.
